Part: 1 – Where are we now?
- SWOT analysis SWOT analysis combines both internal and external factors. After group discussion, all members agree with the idea that this should be done first. The reason is that before planning something, the company needs to determine its current status as stated by Buhalis (2003). According to Andolsen, A.A. (2008) to be successful, it is essential to pay attention to the first step which is understanding yourself. This idea shows how much important it is to analyze your current situation before you make the plan.
Moreover the same author also gives the idea that it will be better to know more about our competitor and also the situation around us as well.
On the other hand, In part Global Competition may not need to be providing in this part because of if we only focus on the local market this kind of thing if less use for the company. Also consumer behavior pattern: it is seen to be a good thing to try to follow the customer trend but if the company has to change its pattern of service, it will cause us a serious problem. According to Sanders (2010) note that it is hard to change the organization because the solution of this is require people to change their ways.
Part : 2 – Where do we want to go ?
- Vision Usually most organizations will set up their vision to give them the direction where the company wants to be. The simple idea of vision is business scope and it has to be clearly structured, not too long, because the employees need to understand it deeply. According to Leuthesser and Kohli (1997) and Yamauchi (2001) vision and mission statements are important media for conveying company values and emphasizing its uniqueness and differences or contrast to its competitors. The vision will show the character of the organization which can emphasize its difference from the other organization. Moreover Bigger, A.S. and Bigger L.B. (Bigger, 2007) note that vision is the need to pull together in the same direction, that is why it needs to be easily understood.
- Mission Mission comprises the competencies to achieve the vision. For this reason, it has to be in the same way with the vision. Usually both mission and vision come together. Buhalis (2003) notes that normally the process will start with mission which draws patterns to achieve the former.
Part : 3 – How do we get there ?
- Goal and objectives
Setting the goal and objectives is something that will more focus on the practical planning or strategy. According to Jeffrey, H. (1995) the role of goal setting is to motivate and direct behavior of employees to develop or to be satisfied with their jobs. This shows how the goal works on the process to reach the point. However some people might think that goal and objectives are the same as the mission of the company, because the output of both competencies are almost the same thing.
- Key actions
Key action plan is what can be done to resolve the identified issues, whether the current systems should be replaced or modified. The strategic option is important to avoid mistakes or can play the important roles to make the organization achieve the goal.
- Communication
There is often communication in the business plan, and in this case ICT Planning as well. Communication plays an important role to increase the efficiency of work. Without an effective communication in the organization, it cannot be successful because the employees will not understand the planning and vision as well.
Hellriegel et al (2005) mentioned that effective communication will help your organization achieve better cooperation and work efficiency among employees by giving the 7 guidelines that can improve our communication skill as follows:
1. Clarify your ideas before communicating.
2. Examine the true purpose of the communication.
3. Consider the setting in which the communication will take place.
4. Consult with others, when appropriate, in planning communications.
5. Be mindful of the nonverbal message you send.
6. Take the opportunity to convey something helpful to the receiver.
7. Follow up the communication.
This article shows how communication plays an important role in ICT planning.
Quinn et al. (2007) stated that poor communication in an organization can lead to low morale and low productivity and the company would not want its organization to face low productivity and employees to become demotivated.
- Budgeting
It is normal to see budgeting on most of the business planning. This is because every development or improvement does not bring only the positive side, but also budget is one of the important parts to make decision same as another competency. According to Ian Graham the case study of “how of making decisions on information technology in hotels” really shows a good example of budgeting effect on the ICT planning. In this case study they have to make decision between putting the new system or upgrading it, and also providing another factor which also has to thinking about budgeting as well.
Part : 4 – How do we know we got there ?
- Control and feedback
It is impossible for ICT planning to run without a mistake or error problem. During the process, there might be some problems that the planning does not cover about appearing. This competency will control the task when working and catching the problem, then giving the feedback to set up the planning again to avoid the same mistake. Buhalis (2003) noted that control and feedback play a role to evaluate and indicate the performance of the services. As the idea of this Control and feedback will provide the useful information to improve our planning or system in the future.
